Information processed
Contact and quotation forms process your name, email address, company and phone details if supplied, selected service and project message. Hosting and security services may also process IP addresses, access times, browser information and technical error logs. Do not submit identity documents, payment card details, health information or personal information unrelated to your request.
Collection, purposes and legal grounds
Information is collected electronically through web forms, direct email correspondence and technical records generated by site use. Contact and project information is used to respond, prepare quotations, conduct pre-contract discussions at your request and manage the service relationship. Where applicable, processing is based on necessity for entering into or performing a contract. Technical security records are processed for legitimate interests in system security, subject to fundamental rights and freedoms; mandatory records are processed to meet applicable legal obligations.
VERA Web Mail and Google user data
VERA Web Mail uses the Gmail API through FluentSMTP to send website notifications from the authorised administrator’s connected eray.hikmet@gmail.com account. Contact and quotation requests are delivered to the same address. The administrator authorises the connection through Google’s OAuth consent screen. Visitors are not asked to sign in with Google or share Gmail passwords.
The connection processes the authorised sender address, recipient addresses, message subjects and contents, and access and refresh tokens required for sending. These are used to send mail, maintain the connection and investigate delivery problems. The purpose is not to read or delete existing mailbox messages. Google user data is not used for advertising targeting, data sales or training general-purpose AI models.
VERA Web Mail’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
Service providers and sharing
The site uses Netinternet for hosting, Google and FluentSMTP software for email delivery, and Google Maps for location displays. Information is processed through these services to the extent needed to provide them. Personal data is not sold for advertising. Information may be disclosed in response to lawful requests by competent authorities and applicable legal obligations. Google services may involve processing abroad; applicable transfer conditions and service agreements must be considered.
Retention and deletion
FluentSMTP email delivery logs are configured for automatic deletion after 14 days to support troubleshooting. This period does not cover Gmail messages, hosting logs or backups. Requests and service correspondence in Gmail are retained for the time needed to follow up requests, manage services and meet applicable legal obligations. When the processing purpose ends, applicable deletion, destruction or anonymisation procedures are followed.
The Google account owner may revoke VERA Web Mail access through the Google Account’s third-party connections settings. This may prevent new messages being sent, but does not automatically delete previously sent messages or existing logs. Requests to remove connection details from the site can be sent to the contact address above.
Security
Measures include HTTPS, administration restricted to authorised users and updates. FluentSMTP encryption for the Google client secret is kept enabled. No internet service can guarantee absolute security.
Cookies and Google Maps
WordPress administration logins may use session and security cookies. Loading Google Maps on the contact page connects the browser to Google servers. Google may process technical information such as the IP address and browser details under its own cookie and privacy practices. See the Google Privacy Policy.
Your rights and requests
Under Türkiye’s personal data protection law (KVKK), you may request information about whether your personal data is processed, its purposes and recipients; correction of inaccurate or incomplete data; and deletion or destruction where the conditions are met. You may request notification of such actions to recipients, object to adverse outcomes from exclusively automated analysis, and seek compensation for damage caused by unlawful processing.
Send requests to info@veratanitim.com or the postal address above. Identity verification and additional information may be required to assess a request. This notice is updated as site and processing practices change.
